KEDS: Getting Started

Overview

The Kansas Education Data System (KEDS), a modern data collection platform designed to gather student, course, and educator information. This initiative aims to improve data standardization, enhance system interoperability, and create synergy with the Statewide Longitudinal Data System (SLDS).  KEDS will begin by collecting student data in parallel to KIDS during the 2025-26 school year. Districts will need a key and secret to connect their Student Information System (SIS) to KSDE’s Operational Data Store (ODS).  Districts will then be able to send the same information they submit through KIDS to KSDE using their SIS sync process.  District staff will then be able to access KSDE’s Data Validation Portal (DVP) to review and correct the submitted data.

NOTE: Virtual calls will be made using Microsoft Teams. Training can be done with the web version of teams.  We suggest that users who will be attending these calls have Teams installed and the capability to share their screen which will be a method KSDE uses to provide support to districts.

 

2025-26 KEDS Process

Each year SIS vendors are certified before districts can upload information to the KEDS system.  Check out the Vendor Information page to confirm your SIS vendor has been certified.

Each district must identify a Key Master to receive a key and secret to connect their SIS.  You can request a Key Master form by emailing KEDS@KSDE.gov.  Staff who will be reporting or need to have an overview of KEDS can schedule to attend Part 1: Introduction which will cover an overview of the system including;

  •  Contrast the differences between KIDS and KEDS
  • New technologies implemented within the KEDS system
  •  Implications of the new data collection process for both districts and KSDE
  • KSDE expectations of districts for the current academic year
  • Ongoing work required to complete the transition from KIDS to KEDS
  • Identify KEDS resources, training and support processes
  • Key Master Role & Form

     

    After this, you will receive the Key Master form which the district will have to fill out and have your superintendent send it to KEDS@KSDE.gov.  Once the designated account with the key master roll is created, you will receive an email with a link to setup your account.

    You will then need to connect your SIS to KSDE using the provided key and secret.  Contact your vendor for instructions or support on how to do complete   this process. 

    Staff who will would like an overview of the onboarding process can schedule to attend Part 2:  Onboarding which will cover the steps to prepare your SIS to connect to KEDS including the following topics. 

     

  • Review Part 1: Introduction
  • Discuss the relationship with vendors and KSDE during onboarding
  • Accessing your key and secret combination through the Ed-Fi Credential Manager
  • Discuss descriptors and the purpose of mapping them in your SIS
  • Review KEDS resources, training and support processes
  • Requesting Data Validation Portal (DVP) Accounts

     

    Complete the Data Validation Portal Account form and provide it to your superintendent to approve by sending the form to KEDS@KSDE.gov.  After KSDE has created your DVP accounts, users will receive an email with a link to reset their password and access the Data Validation Portal.  Staff can login and run jobs or review data depending on their access level.

    Staff who will be validating data in the DVP can learn about the Jobs and Rules by reading the Data Validation Portal Jobs Rules and Descriptions - 3.0.00 v2.0 document or they can attend the Part 4: Jobs and Rules training.  The presentation discusses how to use the jobs and rules to validate submitted data.

    As staff begin reviewing their data, correcting validation errors and syncing with their SIS, they will likely need assistance with errors they have found. For assistance with the Data Validation Portal (DVP) or understanding the validation errors, users can email ⁠KEDS@KSDE.gov or can⁠ can schedule a Virtual Support Meeting.
